#NASPA23 Meeting and Reception Requests
The 2023 NASPA Annual Conference is a convenient time for Constituent Groups, institutions, and NASPA leaders to host planning meetings for the next year. It is also the perfect opportunity to host networking and social receptions after a long day of professional development.
Meeting and reception requests for the 2023 NASPA Annual Conference are now closed. Confirmations will be sent in early December and will include your event date, time, and location as well as next steps for catering and AV orders.
Late requests will be reviewed on a case-by-case basis and are subject to a $50 fee. To submit a new request after the October 28 deadline, please contact Amber Waters, Assistant Director of Meetings and Events, at [email protected].
All requests are subject to NASPA approval. Meeting space is limited and not all requests can be accommodated. Notifications of space assignments will go out in early December 2022.
There is no cost associated with requesting or reserving onsite meeting space, provided the request is submitted by the deadline. However, you will be responsible for the cost of catering or AV orders.
There may be a fee for exhibitors or sponsors who are requesting a meeting or reception space. Please discuss options with your NASPA sponsorship contact.
Less than 1,000 sq. feet: $250
More than 1,000 sq. feet: $500
Meetings and receptions fall in to two categories, NASPA-sponsored events and non-NASPA-sponsored events.
NASPA Sponsored Events
Meetings and receptions that fall under this category are hosted by NASPA. Events included in this grouping are NASPA Region, Knowledge Community, Division, or other Constituent Group meetings and receptions, and NASPA staff-coordinated meetings.
NASPA-sponsored receptions, meetings and engagement activities onsite, including Constituent Group receptions, may be requested during the main event dates of April 3-5, 2023. Space will be limited and events may not be scheduled during Keynote Speakers, Featured Educational Sessions, or Exhibit Hall dedicated hours.
Open business meetings for NASPA Constituent Groups will be hosted virtually on Thursday, April 13 and Friday, April 14. These are later dates than recent years and reflect an update to the overall event schedule based on participant feedback. This timing will allow for travel home from the place-based event in Boston as well as the observance of Passover and Easter following the main conference dates.
Non-NASPA Sponsored Events and Ancillary Events
Meetings and receptions that fall under this category are events requested and paid for by a third-party event host. Events that typically fall within this category are university or institutional receptions and meetings. These are events that happen in conjunction with the NASPA Annual Conference but are not supported financially by NASPA.
Ancillary receptions, meetings, and engagement activities may be requested during the main event dates of April 3-5, 2023. Space will be limited and events may not be scheduled during Keynote Speakers, Featured Educational Sessions, or Exhibit Hall dedicated hours.
Catering & AV
Catering and audiovisual information will be made available to all meeting hosts by early December 2022.
