Meeting and Reception Space Requests
The NASPA Annual Conference provides an opportunity for NASPA Constituent Groups, institutions, and other organizations to host networking and social receptions or planning meetings. We look forward to hosting your event in New Orleans!
Priority Deadline
Requests received by October 2 will be given priority consideration for space and scheduling. NASPA Constituent Groups must meet the priority deadline in order for their events to be scheduled at dates/times that do not conflict with sponsored sessions or other Constituent Group programs and activities.
Meeting and reception requests received by the priority deadline will be confirmed in mid- to late October.
Final Deadline
The final deadline to request a meeting or reception at the 2025 NASPA Annual Conference is October 30. Requests received after this deadline will be reviewed on a case-by-case basis and are subject to a late fee.
Meeting and reception requests received by this deadline will be confirmed in mid- to late November.
All requests are subject to NASPA approval. Meeting space in New Orleans is limited and not all requests can be accommodated. NASPA will consider the size of the group, type of program, and layout needs in order to maximize the space available. We reserve the right to prioritize NASPA entities' requests and to refuse space to individuals and/or groups who do not comply with stated policies and procedures.
Meeting/Reception Guidelines
Cost
There is no cost associated with requesting or reserving onsite meeting space, provided the request is submitted by the deadline. However, you will be responsible for the cost of catering or AV orders.
There is a fee for exhibitors or sponsors who are requesting a meeting or reception space. Please discuss options with your NASPA sponsorship contact.
Meeting/Reception Types
Meetings and receptions fall in to two categories, NASPA-sponsored events and non-NASPA-sponsored events.
NASPA-Sponsored Events
Meetings and receptions that fall under this category are hosted by NASPA. Events included in this grouping are NASPA Region, Knowledge Community, Division, or other Constituent Group meetings and receptions, and NASPA staff-coordinated meetings.
NASPA-sponsored receptions, meetings and engagement activities onsite, including Constituent Group receptions, may be requested during the main event dates of March 17-19 2025. Space will be limited and events may not be scheduled during Keynote Speakers, Featured Educational Sessions, or Exhibit Hall dedicated hours.
Non-NASPA-Sponsored Events and Ancillary Events
Meetings and receptions that fall under this category are events requested and paid for by a third-party event host. Events that typically fall within this category are university or institutional receptions and meetings. These are events that happen in conjunction with the NASPA Annual Conference but are not supported financially by NASPA.
Ancillary receptions, meetings, and engagement activities may be requested during the main event dates of March 17-19, 2025. Space will be limited and events may not be scheduled during Keynote Speakers, Featured Educational Sessions, or Exhibit Hall dedicated hours.
Catering and AV
Catering and audiovisual information will be made available to all meeting hosts by late November 2024. Please note, every meeting space will be equipped with a wired microphone that is complimentary to the meeting space. All other AV will be charged individually to the event.
