2020 Meeting and Event Space Request

The 2020 NASPA Annual Conference is the perfect place for constituent groups, institutions, and NASPA leaders to host brainstorming and planning meetings for the next year. It is also the perfect opportunity to host networking and social events after a long day of professional development. 

How to Submit a Meeting Space Request

The deadline to submit a meeting space request is Friday, November 1. NASPA constituent groups (e.g., Knowledge Communities) have an earlier deadline of Tuesday, September 3. Please adhere to the established deadlines. Any requests after the November 1 deadline will be subject to a $50 fee.

It’s important to note that all requests are subject to approval. Meeting space is very limited and not all requests can be accommodated. Notifications of space assignments will go out on Tuesday, November 12, 2019.

  • Log in to your account.
  • Scroll to the bottom of the Request Page and click "Add New."
  • Scroll to the bottom of the Program Type page and click on the "Meeting Space Request" radio button.
  • Follow instructions from there.

Meeting Space Guidelines

Cost

There is no cost associated with using meeting space, however if you wish to provide catering and/or have audiovisual needs, these are available at additional costs.  

There is a fee for exhibitors who are requesting a meeting reception space.

  • Less than 1,000 sq. feet: $250
  • More than 1,000 sq. feet: $500
Sponsored vs. Non-Sponsored

Meetings and receptions fall into two categories, NASPA-sponsored events and non-NASPA-sponsored events.  

NASPA Sponsored Events

Meetings and receptions that fall under this category are those meetings/receptions that are paid for by NASPA. Included in but not limited to this category are Knowledge Community meetings and receptions and NASPA leadership-, division-, and staff-coordinated meetings and receptions.

Non-NASPA Sponsored Events

Meetings and receptions that fall under this category are all meetings and receptions that are NOT paid for by NASPA. Events that typically fall under this category are institutional receptions and meetings. These events happen in conjunction with the NASPA Annual Conference but are not supported financially by NASPA.

Catering

Catering information, menus, and hotel contacts will be available in December 2019.
