Meeting and Event Space Requests

Want to Host a Meeting or Reception during #NASPA22?

The 2022 NASPA Annual Conference is a convenient time for constituent groups, institutions, and NASPA leaders to host planning meetings for the next year. It is also the perfect opportunity to host networking and social receptions after a long day of professional development. 

The deadline for NASPA Constituent Groups to submit a meeting space request is FRIDAY, OCTOBER 1, 2021.  Constituent Groups have an earlier deadline so that we can ensure that programs and events for various constituent groups do not have conflicting scheduled times.

The deadline for all other meeting space requests is FRIDAY, OCTOBER 29, 2021

Please adhere to the established deadlines. Any requests submitted after the October 29 deadline will be subject to a $50 fee.

All requests are subject to NASPA approval. Meeting space is limited and not all requests can be accommodated. Notifications of space assignments will go out before the end of November 2021.

We know that there are many questions about how we will gather in Baltimore, as we know that COVID-19 will not be gone within the year. As details continue to emerge regarding the public health conditions in Maryland and around the country, we will update the 2022 NASPA Conference Website. Be assured that we will plan the conference with the health and safety of every participant as our number-one priority.

How to Submit a Meeting Space Request

  • Log into the 2022 NASPA Annual Conference submission portal.
  • Scroll to the bottom and click "Add Program/Request Meeting or Reception."
  • Under Program Type, select the "Meeting/Reception Space Request"  radio button and submit.
  • Follow instructions from there. Be sure to complete all sections of the request page, including the onsite contact details. Incomplete requests are not submitted to the NASPA Meetings & Events Team.

Meeting/Reception Guidelines

Cost

There is no cost associated with requesting or reserving onsite meeting space provided the request is submitted by the deadline. However, you will be responsible for catering or AV orders.

There may be a fee for exhibitors or sponsors who are requesting a meeting or reception space. Please discuss options with your NASPA sponsorship contact.

Less than 1,000 sq. feet: $250
More than 1,000 sq. feet: $500

Meeting/Reception Types 

Meetings and receptions fall in to two categories, NASPA-sponsored events and non-NASPA-sponsored events.  

NASPA Sponsored Events

Meetings and receptions that fall under this category are hosted by NASPA. Events included in this grouping are NASPA Region, Knowledge Community, Division, or other constituent group meetings and receptions, and NASPA staff-coordinated meetings.

NASPA-sponsored receptions, meetings and engagement activities onsite, including Constituent Group receptions, may be requested during the main event dates of March 21-23, 2022. Space will be limited and should not be scheduled during Keynote Speakers, Featured Educational Sessions, or Exhibit Hall dedicated hours. 

Open business meetings for NASPA Constituent Groups will be hosted virtually on March 24 & March 25, 2022.

Non-NASPA Sponsored Events and Ancillary Events

Meetings and receptions that fall under this category are events requested and paid for by a third-party event host. Events that typically fall within this category are university or institutional receptions and meetings. These are events that happen in conjunction with the NASPA Annual Conference but are not supported financially by NASPA.

Ancillary receptions, meetings, and engagement activities may be requested during the main event dates of March 21-22, 2022. Space will be limited and should not be scheduled during Keynote Speakers, Featured Educational Sessions, or Exhibit Hall dedicated hours. 

Catering & AV

Catering and audiovisual information will be made available to all meeting hosts by early January 2022.
